Privacy Policy

Reckoned Force LLC ("we," "us," or "our") operates KnightSense ("the Service"). This Privacy Policy explains how we collect, use, store, and protect your information when you use the Service.

1. Information We Collect

1.1 Account Information

When you create an account, we collect your name and email address from your chosen sign-in provider (Google, Microsoft, Apple, or email). We do not collect or store your sign-in provider passwords.

1.2 Conversation Data

When you use the Service, we process the following data:

  • Transcriptions: Text transcriptions of conversations you choose to analyze. In Privacy Mode, audio is transcribed on your device and only text is sent to our servers.
  • AI Insights: Analysis results generated by our AI, including key points, action items, and coaching suggestions.
  • Session Metadata: Duration, mode selected, and timestamps.

1.3 Audio Data

We do not store audio recordings. In Performance Mode, audio may be temporarily streamed to our AI provider for transcription, but it is not saved after processing. In Privacy Mode, all audio processing occurs entirely on your device — no audio data leaves your device.

1.4 Voice Profiles

If you use our Speaker Identification feature, we process a short audio sample (approximately 10 seconds) to generate a mathematical voice embedding — a compact numerical representation of vocal characteristics. Important details:

  • No audio is stored. The audio sample is processed in real time and immediately discarded. Only the resulting embedding (~1 KB of numerical data) is saved.
  • Embeddings are one-way. Voice embeddings cannot be reversed to reconstruct your voice or any audio. They are mathematical fingerprints used solely for speaker matching.
  • You control your profiles. You can view and delete your voice profiles at any time through the app's Settings > Voice Profiles screen. Deletion is immediate and permanent.
  • Processing location. Audio samples are sent to our secure, self-hosted speaker identification service for embedding generation. They are not sent to third-party AI providers.
  • Privacy Mode. When Privacy Mode is enabled, Speaker Identification is automatically disabled — no audio is sent for voice matching.

1.5 Usage Data

We collect basic usage information including session counts, feature usage, device type, and app version. This data is used to improve the Service and is not linked to conversation content.

1.6 Payment Information

Payment processing is handled by Stripe (web) and Apple/Google (mobile). We do not directly collect or store credit card numbers or payment details. We receive only transaction confirmations and subscription status from these providers.

2. How We Use Your Data

  • To provide real-time conversation analysis and insights
  • To store and display your session history
  • To generate AI-powered summaries and action items
  • To manage your account and subscription
  • To improve the accuracy and quality of our AI models
  • To communicate with you about the Service (updates, security alerts)
  • To enforce our Terms of Service and prevent abuse

3. AI Processing and Third-Party Providers

Conversation transcriptions are processed by third-party AI providers (currently Anthropic) to generate insights. These providers process your data according to their own privacy policies and data processing agreements. We select providers that commit to not using customer data for training their models.

4. Data Storage and Security

  • Session data is stored in encrypted databases (MongoDB Atlas) hosted in the United States
  • Authentication tokens are encrypted and stored securely on your device
  • All data in transit is encrypted using TLS/HTTPS
  • We implement industry-standard security measures to protect against unauthorized access
  • Access to user data is restricted to authorized personnel only

5. Data Retention

Session data is retained for as long as your account is active or as needed to provide the Service. You can delete individual sessions at any time through the app or website. If you delete your account, all associated data will be permanently deleted within 30 days, except where retention is required by law.

6. Data Sharing

We do not sell your personal data. We may share data only in the following circumstances:

  • AI Processing: Conversation text is sent to our AI provider to generate insights
  • Payment Processing: Transaction data is shared with Stripe, Apple, or Google for payment processing
  • Legal Requirements: If required by law, court order, or governmental authority
  • Business Transfers: In connection with a merger, acquisition, or sale of assets

7. Your Rights

You have the right to:

  • Access: Request a copy of your personal data
  • Correction: Request correction of inaccurate data
  • Deletion: Delete your sessions, voice profiles, or your entire account
  • Export: Export your session data (available via the app and website)
  • Opt-out: Use Privacy Mode to keep audio processing entirely on-device

8. Children's Privacy

The Service is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will delete it promptly.

9. International Users

If you are accessing the Service from outside the United States, your data may be transferred to and processed in the United States. By using the Service, you consent to this transfer. We comply with applicable data protection laws, including GDPR for European users and CCPA for California residents.

10. Cookies and Tracking

The website uses a session cookie ("ks_token") to maintain your authentication state. We do not use third-party tracking cookies or advertising trackers. We may use basic analytics to understand aggregate usage patterns.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via email or through the Service. Your continued use of the Service after changes constitutes acceptance of the updated policy.
